A Brief History of the Pennsylvania  Division Annual Meeting

(and Current Information on Gettysburg in May, 2010)


The Pennsylvania Division (“PA Division”) currently consists of 19 chapters throughout the Commonwealth.  Every May the PA Division holds an annual meeting, hosted by one or more chapters. 


We are the Harrisburg Chapter.  Harrisburg Chapter is part of Southcentral Council, along with White Rose, Susquehanna Valley and Conestoga Chapters. 


In 2008 the Southcentral Council bid to host the 2010 annual meeting.  That means that the Harrisburg, White Rose, Susquehanna Valley and Conestoga Chapters are responsible for next May’s meeting being held in Gettysburg.

Every annual meeting has an event coordinator.  Harrisburg Chapter’s own, Kathie Hook CPS/CAP is the event coordinator for the 2010 Annual Meeting.   

·        Every Chapter has a chapter coordinator who reports to the event coordinator.  Harrisburg Chapter’s is Maggie Ruff CPS.

·        Harrisburg Chapter is responsible for the following committees:

·       Registration

·   Presidents’ Banquet

·      Hospitality

·        Seminar & Vendor Expo

·        Two chapters are responsible for the remaining committees:

·     Evening of Welcome – Conestoga Chapter

·    Trips & Tours – White Rose Chapter

·       Recognition Luncheon – White Rose Chapter

·       Sunday Breakfast/Business – White Rose Chapter

·        The Planning Committee is responsible for the Saturday Business Session.

·        The Susquehanna Valley Chapter and the some members from the recently-disbanded Tollgate Chapter will fill in as needed. 


Since this is a group effort by all members of the chapters in the Southcentral Council, YOUR HELP IS NEEDED. If you are not currently signed up to be on a committee for this very important weekend, please consider doing so.  Below is a short synopsis of the four committees chaired by members of the Harrisburg Chapter.  Please read the descriptions and seriously consider joining one of these committees.  Much of the basic work is completed, but the weekend of the event is when we are going to need all the hands we can get. 


Registration.  The Registration Committee is responsible for developing the Registration Form that goes out to all members of the PA Division early in 2010.  Registration information is assembled electronically and e-mailed to all members of the  PA Division, as well as International Members at Large who live  in Pennsylvania.  A database has be created and will be maintained to track registrations as they are received.  Badges for the badge holders must be created and put in the registration packet everyone receives at time of registration check in – another last-minute task for the Committee.  A roster of registrants is another item for the registration packet.  This year’s registration packet will also contain two gifts, as well as various items relative to the Gettysburg area.  The Committee must provide attendee information to the other Committee Chairs, and the Chair will present the report of registration at the business sessions on Saturday and Sunday morning.  In addition, and very important, two committee members must be at the registration desk during the specific hours during the weekend.  If you are interested in becoming a member of this Committee, please contact:

Presidents’ Banquet.  The Presidents’ Banquet is held Saturday evening and its intention is to honor the Chapter and Division Presidents, past and present.  This Committee is responsible for choosing the menu, the centerpieces, a table gift for each attendee, corsages for the presidents and entertainment for the evening, just to name a few tasks.  If you are interested in becoming a member of this Committee, please contact:

Hospitality.  Every PA Division has a hospitality suite where we have liquid refreshments and snacks available for the attendees.  The hospitality suite also houses various raffle items and a 50/50 and tickets for these raffles and 50/50 will be sold by a member of the Hospitality committee in this suite.  If you are able to donate beverages (or are able to solicit from your company) or snacks and/or baked goods, or if you are interested in becoming a member of this Committee, please contact:

Seminar & Vendor Expo:  The Seminar is held on Friday, and the Committee has arranged for a speaker for this event.  The two members who are co-chairing this committee have done a brilliant job and nothing more is required.  However, these same two members are also handling the Vendor Expo, which is an attempt to get various business-related vendors to buy a table and show their wares during the weekend.  If anyone knows of a company (perhaps yours?) who might be interested in purchasing a table the co-chairs will be happy to give you more information.  If you are interested in becoming a member of this Committee, please contact:
